How to fill it out

  1. Number it and point to the estimate

    Give each invoice its own number and date, and write the estimate or contract number it bills against, so both of you can match it up later.

  2. Copy the lines from the estimate

    Bill the same quantities and rates the customer accepted. If a change order added or removed work, put that on its own line.

  3. Add tax if it applies

    Enter your tax rate if your state taxes the work. Leave it blank if it doesn't.

  4. Take off what's been paid

    List the deposit and any progress payments with their dates. The sheet adds them up and shows the balance due.

  5. Say how and when to pay

    Write the due date, the ways you take payment, and your late fee terms if you have them. Then send it or print it.

What should a contractor invoice include?

An invoice number and date, your company and license number, the customer and job address, the estimate it bills, each line with quantity, rate and amount, tax if it applies, payments already received, the balance due, the due date and how to pay.

How do I show a deposit on an invoice?

List it under payments received with the date you got it. The sheet takes it off the total and shows the balance due. Do the same for each progress payment.

How big a deposit can a contractor take?

It depends on the state. In California, for example, the down payment on a home improvement job can't be more than $1,000 or 10% of the contract price, whichever is less, according to the Contractors State License Board. The sample invoices stay inside that limit.

Can I use it as a roofing or painting invoice template?

Should I charge a late fee?
